EXCEL PROCUREMENT SERVICES - MOBILE EMPLOYEE PORTAL.

Excel Procurement Services (EPS), a US Defense contractor in Bakersfield, CA contracted me to redesign their internal employee portal, bring it to modern standards, and in compliance with the DOD requirement. This was a 4 month contract, however due to the nature of the project, it was broken up in 4 phases. The screenshots displayed below are from Phase 1
EPS uses multiple systems to manage their day to day business needs. HR, Recruiters, Contract Analyst, Contracting Officers, etc, they all have their own portal, from which they access their projects, and none of them are mobile friendly. With employees constantly on the travel between Army Depots, and factories, EPS needs to create a singular system from where employees can access the documents they need at the right time.
Looking at the requirements, and the design and technical challenges, we concluded that the best way to tackle this project is in multiple phases.
Phase 1 - 4 months
Create a universal app, that allows employees access to their email, company chat board, Schedule/PTO, and their salary info.
The next phase would consist of adding modules for individual departments. HR will be able to access employee records, contractors will be able to view active contracts, in house counsel will have access to SEC/FDA/FAR/DFAR rules and regulations. Teams will be able to chat within their own group. At this stage access will only be given to few employees, in order to test out the system, and smooth out any bugs.
Because the system accesses federal, and military database, security is vital. At this phase a full audit on the app security will be performed and brought to par with the DOD standard.
The last stage involves creating a standardized design elements, colors, fonts. A major update of the app will be launched, and everyone will have access.
The final solution is a system that is scalable. Individual applications can be built later on, and added to this system. Access to the applications will depend on the employee clearance level and their job function.
